RFP: Event Manager and Travel Agent for the Africa Impact Summit (AIS) 2025

Introduction 

The Africa Impact Investment Group (AIIG) is pleased to invite proposals from qualified and experienced professionals to serve as the Event Manager and Travel Agent for the Africa Impact Summit (AIS) 2025. The summit will take place in Accra, Ghana, on June 11-12, 2025, preceded by a pre-conference study tour in Nigeria on June 9-10, 2025

The AIS is the leading forum driving networking, deal-making, and impact investing thought leadership in Africa. The 2025 summit will emphasize mobilizing capital at scale, policy actions for progress, and research to inform scalable solutions. 

  1. Scope of Work: Event Manager 

The selected Event Manager will be responsible for the successful planning, coordination, and execution of the summit. Key responsibilities include: 

  • Event Planning and Coordination: 

Collaborate with AIIG and partners to design and refine the event’s concept, themes, and agenda. 

Identify, negotiate, and manage contracts with vendors, suppliers, and service providers. 

Oversee logistics, including venue selection, audio-visual equipment, catering, and on-site management. 

  • Stakeholder Engagement: 

Coordinate with speakers, panelists, and participants to ensure smooth integration into the program. 

Engage with sponsors and exhibitors to provide tailored solutions and ensure their participation aligns with event objectives.

  • Marketing and Communications: 

Develop strategies to promote the event and manage public relations in collaboration with AIIG’s marketing team. 

Ensure effective branding and visibility throughout the summit. On-Site Management: 

Oversee all on-site activities and ensure seamless event execution. 

Address real-time challenges promptly to ensure a positive experience for all attendees. 

  • Post-Event Evaluation: 

Provide a comprehensive report detailing outcomes, challenges, and recommendations for future events. 

  1. Scope of Work: Travel Agent 

The Travel Agent will manage travel logistics for summit participants, including international and regional attendees. Key responsibilities include: 

  • Travel Arrangements: 

Book flights and accommodations for participants, speakers, and staff. 

Ensure cost-effective and efficient travel plans that align with the budget. 

  • Visa Assistance: 

Support attendees with visa applications and documentation as needed. 

  • Transportation Logistics: 

Arrange ground transportation for airport transfers, venue commutes, and other event-related travel. 

  • 24/7 Support: 

Provide ongoing support for attendees throughout the summit, addressing any travel-related issues promptly.

Proposal Requirements 

Proposals should include the following details: 

  1. Company Profile and Expertise

Description of your company/individual qualifications and past experience with similar events. 

Examples of successfully managed events or travel logistics projects. 

  1. Technical Approach: 

Outline of your approach to managing the scope of work, including a timeline and milestones. 

Tools or systems you will use to ensure effective event and travel management. 

  1. Key Personnel: 

Profiles of the proposed team members, highlighting relevant experience. 

  1. Budget Proposal: 

A detailed budget breakdown, including fees for services, travel costs, and other expenses. 

  1. References: 

Provide at least three references from past clients. 

 

Selection Criteria 

The evaluation of proposals will be based on the following criteria: 

  • Demonstrated expertise and relevant experience. 
  • Creativity and innovation in planning and execution. 
  • Cost-effectiveness and budget transparency. 
  • Capacity to manage a large-scale event and travel logistics. Feedback from references.
