About Impact Investing Ghana
Impact Investing Ghana (IIGh) is the Ghana National Advisory Board for Impact Investing. We are an independent private-sector led initiative promoting sustainable development and advancing the development of the impact investment ecosystem in Ghana. Established as a nonprofit, IIGh is Ghana’s representative to the Global Steering Group (GSG) for Impact Investing, the successor to the Social Impact Investment Taskforce established by the G8. Terms of Reference (Annex 1)
Context
Impact Investing Ghana has been using Google Drive as a primary platform for storing, organizing, and sharing documents, files, and resources related to its operations. The primary objective of this consultancy is to design a system to ensure that documents are saved properly, easy to retrieve and retained, and access to confidential documents is managed in a clear and responsible way. The Consultant will work to streamline the folder structure, remove duplicate and obsolete files, and establish a standardized naming convention for files and folders.
Scope of Work
The Consultant will be responsible for the following tasks:
- Conduct an initial assessment of the organization’s Google Drive to identify areas of clutter, duplication, and disorganization.
- Develop a system and timelines for cleaning up and reorganizing Google Drive that includes the structure and guidelines for creating and archiving folders and documents, taking into account the organization’s specific needs and requirements.
- Streamline the folder structure by consolidating overlapping folders, creating new folders as needed, and organizing files into logical categories.
- Identify and remove duplicate files and obsolete documents that are no longer needed.
- Develop a guideline for creating, achieving, and deleting documents.
- Establish a standardized naming convention for files and folders to ensure consistency and ease of navigation.
- Develop guidelines and best practices for ongoing maintenance of the Google Drive to prevent future clutter and disorganization including how documents should be treated when staff transitions out of the organisation.
Deliverables
The Consultant is expected to deliver the following:
- A detailed plan and timeline for cleaning up and reorganizing Google Drive.
- A streamlined folder structure with organized files and documents.
- Identification and removal of duplicate files and obsolete documents.
- Establishment of a standardized naming convention for files and folders.
- Guidelines and best practices for ongoing maintenance of Google Drive.
Confidentiality:
All information obtained or provided during the consultancy shall be treated as confidential and used solely for the purpose of fulfilling the requirements of this TOR.
Contract length/Time Demand: 29th April 2024 to 30th December 2024
Total 8-12 weeks of work
Budget for the project: $2,100
